How it works
When a survey is for saved email lists, three boxes in its setup are ticked: email the invitation, remind people who haven't answered, and remind them the day before it closes. Leave them ticked and this is what happens:
Reminders go to everyone who hasn't submitted, including people who started and stopped. Two that fall on the same day become one email, and nobody gets more than two. Nothing goes out after the survey closes, or while it's paused: reminders that fell due during a pause go out once you resume.
The emails
They come from AI Adoption Score in your name, “Maria from Northwind asked you to take part in this survey”, and replies go straight to you.
- The invitation, “Northwind invited you to a survey: AI Adoption Barriers”, carries your welcome description, an Open survey button, how to sign in, when the survey closes, and that answers save as people go, so they can leave and come back with the same link.
- Each reminder, “Reminder: AI Adoption Barriers closes on 14 October”, says the person's answers haven't come in yet, and that anyone who started will continue where they left off.
- Both end by saying why the person got the email, and that replying reaches you.
Email lists
- Make a list under Audience: import a CSV file with a column named email, or type the emails, one per line or separated by commas. Duplicates count once, and you see how many were accepted, repeated or invalid.
- Pick one list or several when you launch. An email on two lists counts once.
- Reuse them. Lists stay for your next surveys, and each person's page shows every survey they've been part of. A list is yours: your teammates have their own.
- Change them while a survey runs. Someone you add gets the invitation; someone you remove keeps a working link but gets no more reminders.
Who has answered
The survey's Manage window counts who's been invited, who's answered and who's been reminded, and any emails that failed. From there you can:
- Send the invitations yourself, if you unticked them at launch: for the 360°, say, to set up departments, seniority levels and projects before anyone answers.
- Retry the emails that couldn't be sent.
- Remind people who haven't answered right away. Anyone emailed in the last 24 hours is skipped, and nobody gets more than two reminders.
- Change the reminders while the survey is open, and see when the next ones go out.
The report's Analytics tab (opens in a new tab) adds how many opened the link, started and finished, and where unfinished responses stopped.
No email list?
Surveys with a shared password or company email domains don't send emails: you share the link yourself. After a launch with a shared password, you can copy an invitation that's ready to send, for Slack or for email, or a prompt that asks Claude or ChatGPT to write one. With AI Adoption Score connected to your AI assistant (opens in a new tab), it can draft a reminder with the survey's link and closing date too.
Which way in suits which survey is on Quick launch (opens in a new tab), and what keeps people answering is in Getting high response rates (opens in a new tab).
What it won't do
Email people on password or domain surveys. Only saved email lists get emails.
Send more than two reminders, or emails in your words. The emails are the same for everyone; your survey's title and welcome description go into the invitation.
Post in Slack or Teams for you. The Slack invitation is a message to copy.
Show your logo in the emails. They carry our brand; your company's name is in the subject and the text.
Retry a failed email by itself. Press Retry in Manage.
